Term Dates

The 2025-2026 academic year runs from 1 September 2025 to 12 June 2026.

Autumn 2025
The autumn semester begins on Monday, 1 September and ends on Friday, 12 December. Autumn break is from 27 October to 3 November.

Spring 2026
The spring semester begins on Thursday, 8 January, and ends on Friday, 12 June. February break is from 16-20 February. Spring (Easter) break is from 30 March to 10 April.


In addition, there are a few bank holidays and extra days off for the staff.

During the breaks and public holidays lunches will not be served and no seminars or events will be held. However, Fellows are welcome to continue working in their offices.

Your Obligations as a Fellow at SCAS

For additional obligations, please see the document with obligations that you signed (together with the agreement) before coming to SCAS.

Residential Fellowships

  • It is essential that all Fellows respect the role of the Collegium as a scholarly and social community and their basic obligation of spending their working days at the Collegium. (Needless to say, the Collegium realizes that scholars also work in libraries, archives and other sites.)
  • Fellows are required not to be absent for more than ten working days during the academic term. (For Fellows from abroad, speaking engagements at Swedish universities are not included in this figure.)
  • Fellows are expected to inform the secretariat in writing about intended absences.
  • Fellows must be prepared to give one seminar at the Collegium during the fellowship period. All papers and other materials connected to the seminar are to be handed over to the secretariat at least two weeks before the seminar.
  • Fellows are required to attend all regular seminars, and are expected to attend other academic events, such as lectures, and social events at the Collegium.
  • Fellows are required to support and to provide the Collegium with information on publications initiated, worked upon, or completed during their time as Fellows in residence. In addition, Fellows have to provide the Collegium library with two copies of all publications (books) that are a result of the fellowship period.
  • Fellows are required to attend the excursion(s); these are an important part of the fellowship programme.
  • Fellows are required to attend the lunches that are served at the Collegium.
  • The secretariat is to be contacted for approval of lunch guests (networking purposes only) at least one week in advance.
  • Fellows should use as their affiliation, both their home university and the Swedish Collegium for Advanced Study. This is especially important when accepting speaking engagements during their stay in Sweden.

Seminars and Other Academic Events

A key aspect of being a Fellow at an institute for advanced study is engaging in conversations across disciplinary and national boundaries. Weekly seminars are central to SCAS’s shared activities.

  • Fellows are required to give at least one seminar during their stay and to attend all Fellow seminars, as well as the evening lectures held a few times each semester.
  • Additional events, such as workshops and symposia, provide further opportunities for intellectual exchange.

Schedule and Format:

  • Fellow seminars are typically held on Tuesdays at 10:15 a.m.
  • All seminars are held in the Thunberg Lecture Hall (Thunbergssalen), located in Linneanum.
  • Other events may take place on different weekdays.

Before your seminar, you will be asked to submit an abstract to Sandra Rekanovic. PowerPoint presentations must be submitted to Bjarne Graff at least one day prior to your seminar.

Social Events and Excursions

During the academic year, SCAS organizes a few excursions to places of cultural, historical, or academic interest. These excursions are an integral part of the Fellowship Programme, and Fellows are expected to participate. More information will be provided at the start of each semester.


Lunches and Fellow Dinners

Lunch is served Monday to Friday at 12:30 in the lunchroom on the second floor of Linneanum. These lunches are an integral part of the scholarly community at SCAS, providing opportunities for discussion and collaboration. Fellows are expected to attend all lunches.

If you are unable to attend a lunch, please update the Excel lunch list External link. at least two working days in advance. The list, pre-filled with your name for each lunch, is located on your office computer desktop. This helps SCAS minimize food waste and aligns with our commitment to sustainability. Additionally, the lunch list serves as a record of lunch as a taxable benefit, so it is important to keep it accurate.


Attendance

Fellows have 24/7 access to their offices.

Please inform Pia Hultgren if you plan to be away from SCAS, whether for a few hours or an entire day. Fellows are expected to prioritize their work at SCAS and remain free from other obligations during their stay. Absences should not exceed ten (10) working days per semester (autumn and spring). Official breaks, public holidays and absences due to invitations to give seminars or lectures at Swedish universities (for international Fellows) are not included in the count.

To maintain a healthy work environment, please avoid coming into the office or attending lunches if you are ill or may be contagious. Similarly, if your children are unwell and unable to attend daycare, please do not bring them to SCAS.

SCAS Facilities and Botanic Garden Access

Building Access:
Corridor lights are automatic from 7:00 a.m. to 11:00 p.m. During other hours, lights can be manually switched on.

Ensure all office windows and the front door are closed and locked when you leave.

Botanic Garden Access:
If gates are locked outside regular hours, use your card on the reader to unlock them. When exiting, press the button near the gate. This applies only to the gates nearest SCAS; other gates remain locked. A map is provided upon arrival.


Internal and External Information

SCAS communicates internal information about academic and social activities through your SCAS email or by placing notices in your mailbox. Checking your SCAS email daily is required, as this is the primary source of communication. Important dates and events will also be displayed on screens in the entryways.

We encourage Fellows to share updates on keynotes, awards, promotions, or similar achievements. These are valuable to the SCAS community and can also be featured on the SCAS website or social media. Please send such updates to Sandra Rekanovic.

Postal Services

Outgoing mail is collected from SCAS on Thursdays after lunch (excluding holidays). If mail needs to be sent earlier in the week, please contact Pia Hultgren. Use SCAS pre-labeled envelopes with barcodes, ensuring that the recipient’s country is written in Swedish. Place outgoing mail in the box located next to the elevator on the third floor of Linneanum.

  • Thicker envelopes are available by the communal printer on the third floor, along with SCAS address labels.
  • If mailing a SCAS envelope from a public mailbox, remember to attach a stamp.
  • SCAS will cover freight costs of up to 2,000 SEK per Fellow per academic year for larger parcels. Customs declarations, if needed, are the Fellow’s responsibility (forms are available in the mailroom).

Incoming mail will be placed on the shelf with your name next to the elevator on the third floor of Linneanum. Please check your mailbox regularly to avoid missing important information or correspondence.

Meeting Rooms

SCAS offers several meeting rooms for Fellows to host workshops, meetings, or discussions:

  • Prefektvillan Meeting Room: Fully equipped for up to 12 people.
  • Meeting room in Linneanum: Located on the top floor, equipped for Zoom meetings
  • Villa Lugnet Meeting Room: Ideal for smaller gatherings.

Communications Equipment

We can provide a variety of equipment for Zoom/Teams meetings:

  • The conference room on the fourth floor in Linneanum is fully equipped with a remote-controlled camera and sound system.

  • In the Thunberg Lecture Hall there is an advanced system for more demanding tasks such as webinars and other events.

  • In the smaller seminar room in Prefektvillan there is a Logitech-Ralley system with a remote-controlled camera and a movable microphone.

  • There is a remote TV set in the smaller lunchroom in Linneanum, which can be used anywhere, with the same Logitech-Ralley system.

  • There are several smaller systems that can be used in the office of your choice.

Professional Recording Studio

There is a well-equipped recording studio located in Prefektvillan. In the studio you will find:

  • Four independent Shore microphones connected to a Rode Caster Pro mixer unit. The mixer unit has many different connectors for laptops, cellphones and memory units.

  • Sound absorbers in the ceiling and along the walls, for a
    sound dampening environment.

  • A green screen for taking isolated pictures without the background.

We can offer two easily handheld sound recorders for digital recording
that stores the recordings on a flashdrive.

Musical Instruments

  • A grand piano is available in the lounge on the second floor in Prefektvillan. Please respect your fellow fellows, and use it when the house is empty.
  • An electric piano with a headset is available in the lounge on the second floor in Prefektvillan.
  • An acoustic guitar is available in the lounge on the second floor in Prefektvillan.
  • A piano is available in the Thunberg Lecture Hall. Please make sure that you do not disturb anyone.

Learning Swedish

Each semester, SCAS offers Swedish language courses for Fellows and their spouses. These lessons are tailored to different proficiency levels:

  • If divided into groups, beginners will meet for the first hour, and advanced learners will meet for the second.
  • If not divided, the class will last two hours.

Courses are subject to a minimum number of participants. For inquiries, contact Pia Hultgren.

There are two options for back binding:

  • Spiral bindings with a large variety of sizes.
  • Glue binding with prepared covers with heated glue in the back

Computer and E-mail

All SCAS computers are connected to the SCAS network. You must log in with your personal credentials each time you start the computer. Your login details will be provided on your desk upon arrival.

Upon arrival you will get your own SCAS e-mail account. You cannot forward your SCAS e-mail, but you can access the account via any browser on the address: mail.uu.se External link, opens in new window.

Wireless Networks

Wi-Fi is available throughout the SCAS premises. Use Eduroam to access the wireless networks. This system is widely used all around the university and at most airports. Follow this link to Uppsala University for more info External link.

Printing, Copying, and Scanning

Each office is equipped with a black-and-white printer for your personal use.

You can print, scan, and copy using the following color multifunction copying machines:

  • Third Floor, Linneanum
  • First Floor, Prefektvillan (next to the kitchen)
  • First Floor, Villa Lugnet (next to the kitchen)

All copying machines also function as scanners. You can scan documents and send them directly to your SCAS email address, which will be preloaded in the machine’s address book under your last name.

The large printer/copying machine on the third floor of Linneanum also offers you the possibility to fold in different formats, such as e.g. booklet fold with staples in the back.

To make photocopies in Linneanum and Prefektvillan, you will need a personal code, which will be provided on your desk upon arrival. No personal code is required for the copying machine in Villa Lugnet.Please avoid printing and copying in color unless absolutely necessary, as color copies are significantly more expensive.

Emergency Procedures

In case of emergency: Dial 112 for ambulance, fire brigade, or police.

Fire Alarm

If the fire alarm sounds in:

  • Linneanum: Exit immediately and gather at the courtyard meeting point.
  • Prefektvillan: Exit immediately and gather in front of the building.
  • Villa Lugnet: Exit immediately and gather in front of the building.
  • Villa Therese: Exit immediately and gather in from of the building.

Maps with emergency meeting points and exit plans are provided in each
building.

The fire alarm in Linneanum automatically alerts the Uppsala Fire Department. For Prefektvillan, Villa Therese and Villa Lugnet, you must call 112 to report a fire. Do not use the elevator.

Emergency Guard Support

For lockouts or other urgent situations requiring security, call the University's emergency number at 018-471 25 00. Provide:

  • Your name
  • Location (Uppsala University, SCAS, specific address)
  • Reason for immediate assistance
  • A contact number

Outdoor Warning Signal

If you hear a repeated 7-second warning signal outside of the regular testing
schedule (first Monday in March, June, September, and December at 3 p.m.),
there is an imminent threat to life or health. Immediately:

First Aid and CPR

First Aid Kits are available:

  • Third floor of Linneanum (next to mailboxes)
  • Lunchroom kitchenette (cleaning cupboard)
  • Copy room, first floor of Prefektvillan
  • Laundry room, Prefektvillan (top floor)
  • Entrance hall, Villa Lugnet

An Automated External Defibrillator (AED) is in the reception room next to
the Linneanum lunchroom. Instructions are in Swedish.

Safety Representative

The SCAS safety representative is Mattias Bolkéus Blom. Safety representatives handle work environment matters together with the employer.

Smoking Policy

Smoking is strictly forbidden in all buildings. You may smoke in the garden,
but not within 15 meters of any building (per Uppsala university policy). Use
designated ashtrays near:

  • Linneanum kitchen entrance
  • Wooden benches in front of Prefektvillan
  • For Villa Lugnet, use an ashtray from the kitchen.

Sustainability and Recycling

SCAS is committed to sustainability. Consider factors such as minimizing
printing, recycling, and opting for digital meetings when possible.

Recycling guidelines:

  • Office paper: Use the white recycling bin in your office and empty it into
    the larger bins in designated areas. Envelopes and sticky notes should go in regular waste.

  • General waste, compost, and plastics: Use recycling stations in
    Linneanum lunchroom (second floor), on the fourth floor of Linneanum (by the elevator), Prefektvillan kitchens (under the sink and cupboards near the copy room), and Villa Lugnet kitchen (under the counter).

  • Flattened postal cardboard: Place near the stairs by Linneanum kitchen

Dress Code

For SCAS events with sit-down dinners (e.g., anniversary celebrations or Pro
Futura events), the dress code is “kavaj” in Swedish, which corresponds to business formal. Typical options include a suit, or a jacket combined with trousers or a skirt. Dresses and trouser suits are also appropriate.
Please avoid very informal attire such as jeans or sportswear, and aim instead for slightly more elegant clothing.

Harassment and Discrimination

SCAS is committed to maintaining a positive working environment based on
respect and tolerance. Harassment and discrimination (based on gender, race,
sexual orientation etc.) are not tolerated.

If you experience or witness harassment, contact Maria Odengrund (HR)
or Christina Garsten (Principal). Alternatively, speak with another SCAS staff member.

Swedish legislation requires incidents to be investigated, and SCAS will
take appropriate measures.

Research Ethics

SCAS is governed by the The Swedish Higher Education Act which stipulates
that “higher education institutions shall uphold academic credibility and good
research practice”. If there are suspected deviations from good research practice, this will be investigated and cases that concern possible misconduct in research will be sent to Nämnden för prövning av oredlighet i forskning (The National Board for Assessment of Research Misconduct).
